【英语多益通】上班族都要会的e-mail写作技巧

e-mail(电子邮件)是目前国际场上用来沟通的利器,多益测验的阅读测验中也常会出现email题型。e-mail的写作不需要长篇大论,也不需要璀璨的佳句,而是要辞能达意的正确英文句子。要写好英文e-mail的技巧有很多,但是在此我们的切入点是如何强化事实的叙述,来使一封短短的e-mail更有效率的达到其功能,并显现你让外国客户尊敬的专业能力。

「强化事实的叙述」,顾名思义就是在英文句子里提供事实,以增加说服力。例如:「He loves Hokkaido.」,意思是他真爱北海道。但是如果把这个句子改写为:「He loves Hokkaido. In fact, he went there again last month.」,让增加的事实告诉读句子的人:他真的爱北海道,爱到他上个月又去了一趟那里。

有些人的e-mail句子略显空洞,如果能增加事实的叙述,则能让句子生色不少,并且强化该句的论点。试看以下例子

例1原句:Clayton is the leading brand in the market right now.(Clayton现在是市场上的领导品牌。)

强化事实后的改写:Clayton is the leading brand in the market right now. As a matter of fact, it has a 60% market share in this country.(Clayton现在是市场上的领导品牌。事实上,它在这个国家有百分之六十的市场占有率。)

光说是「领导品牌」略嫌空洞;提出市占率的事实叙述,增加了「领导品牌」的具体性

例2原句:Bill Meyer is an excellent salesperson in the company.(Bill Meyer是公司里很赞的销售员。)

强化事实后的改写:According to the data from the quarterly sales report, Bill Meyer is an excellent salesperson in the company.(根据销货季报的数据显示,Bill Meyer是公司里很赞的销售员。)

光说是「很赞的销售员」不够具体;用销售报告上的数字佐证其论点。

例3原句:I am afraid that Ms. Smith’s remarks are wrong.(我恐怕Smith女士评论是错的。)

强化事实后的改写:I am afraid that Ms. Smith’s remarks are wrong. The truth is that over 30 customers requested a refund for this product last week.(我恐怕Smith女士的评论是错的。事实上,上星期有超过30名消费者要求此项产品的退款。)

当我们在国际职场上,看到各国国际人士的e-mail写作风格上,各有特色。但是那些加上「事实叙述」的e-mail会让人格外印象深刻。我们在此以《多益测验官方全真试题指南》中的一组阅读题做为范例。这封电子邮件是这么起头的:

This e-mail is in response to your letter of October 14, which stated that my membership at your fitness center will expire on October 31. I wish to let you know that I have chosen not to renew it.

这位人士说:「这封电子邮件是回应你10月14日的信件,信上说我在你们健身中心会员资格将在10月31日到期。我希望让你们知道的是,我选择不再续约。」

做为一家健身中心的会员,应该与这家健身中心多多少少有一些情感。既然不再续约,想必事出必有因;这位会员接下来做了「事实叙述」,来补强他的论点(看来他还挺有情有义的):

When I first became a member, the cost was $25 per month. Now the cost is $50 per month. Aside from this significant increase in cost, I have been dissatisfied with some of the services at the fitness center. There never seems to be enough equipment available for use at peak hours during the day. In addition, many of the new aerobics classes that I registered for were canceled due to low attendance.

看来这位会员受了不少委曲,因为这么写道:「当我刚加入会员时,每月会费是25美金。但是现在是每月50美金。除了会费的显著增加之外,我对健身中心的一些服务也不满意。健身器材在白天尖峰时段,似乎总是不够。此外,我报名的许多有氧舞蹈新课程,都因出席率低而取消。」

很明显的,这位健身中心会员列举了三项事实描述:

1. 会费显著增加。2. 健身器材不够。3. 有氧舞蹈课被取消。

如果你看懂了这封e-mail,那以下这两题应该是难不倒你:

1. Why did this person send the e-mail?(A) To explain why she will not renew her membership(B) To recommend an increase in staff(C) To ask for information about the center(D) To report that a machine is not working

2. What is NOT one of this person’s concerns?(A) Fitness equipment is sometimes unavailable.(B) Some aerobics classes were cancelled.(C) The membership fees are too high.(D) The fitness trainers are inexperienced.

解析:第1题的正确答案是(A)。题目是问此人为何寄出email;从e-mail的起头「I wish to let you know that I have chosen not to renew it.」即知,此会员是要解释说明不续约会员资格。答案(B)是建议增加员工,答案(C)是询问健身中心资讯,答案(D)是通报设备故障,皆不符。

第2题的正确答案是(D)。本题典型多益测验Part 7的「选错的」题型。题目是问下列哪一项不是此人的考量。答案(A)、(B)、(C)分别是我们前述此会员不续约原因的「事实」。但答案(D)的「健身教练经验不足」末提及,所以为正解。
